Procurement Administrator ( Head Office)

REPORTING TO

Procurement Supervisor

PURPOSE OF THE JOB

Executes and supports the procurement of products and services according to the procurement policies and business requirements. Ensures the effective and accurate administration of procurement systems and documentation.

 

KEY PERFORMANCE AREAS

Financial Perspective

 

Contributes to cost efficiencies.

 

·        Demonstrates budget and cost awareness and proactively identifies and implements cost saving initiative within the procurement function.

 

·        Identifies and escalates potential risks that could result in increased costs.

 

·        Follows procurement standards and ensures adherence to the prescribed budget and time frames.

 

Cost saving initiatives

 

·        % reduction on pricing performance from previous month.

·        Number of contracts negotiated favourably.

 

Internal Business Process Perspective

 

Supplier administration

 

Ensures the accuracy and accessibility of supplier information by:

·        Accurately capturing supplier information on the system.

·        Checking and filing of all relevant supplier documentation, SLA’s and other legal agreements and contracts.

·        Creating, maintaining, and updating of supplier information on the supplier database

 

Document management.

 

·        % compliance to document management control system procedure

·        IT system utilisation

·        Independent annual review of consistent use of all functionalities of all IT systems under control of the function

 

 

Order Management

Administrates and manages the order processes with the business by:

 

·        Capturing and submitting purchase orders according to business requirements.

·        Checking of invoices against purchase orders to ensure accuracy and escalating variances.

·        Ensuring implementation of an efficient and reliable expediting system by following-up on delivery of orders and the authorisation of invoices.

·        Liaising with relevant stakeholders to resolve issues with orders, supplier invoices and payments.

·        Proactively monitoring the procurement processes to ensure efficiency and compliance to procurement policy.

·        Ensuring accurate and efficient filing and storage system of all purchase order documentation

·        Drives HOD’s satisfaction through the provision of procurement services.

 

·        Builds and maintains relationships with business unit heads/ HOD’s.

 

·        Ensures that the needs of organisational stakeholders are prioritised and managed including:

 

 

                a. Internal customers.

                b. Suppliers and contractors.

 

 

·        Works with management and employees to discuss issues, coordinate activities or resolve problems.

 

 

MINIMUM QUALIFICATIONS REQUIRED

·        Grade 12 (Matric)

 

PREFERRED QUALIFICATION

·        Diploma in Supply Chain Management / Procurement (NQF Level 6)

 

 

MINIMUM EXPERIENCE AND KNOWLEDGE REQUIRED

·        Minimum 3 years’ experience as a procurement administrator.

·        Mining experience essential.
