Sleutelverantwoordelikhede:
Administratiewe Take:
- Bestuur die Direkteur se kalender, reël vergaderings en koördineer reisbesprekings.
- Voorbereiding, hersiening en verspreiding van verslae, aanbiedings en korrespondensie.
- Handhaaf akkurate en op-datum rekords, databasisse en lê
- Bied administratiewe ondersteuning vir vergaderings, projekte en besigheidsevenemente.
- Ontwikkel en implementeer kantoorprosedures en administratiewe werksvloei.
- Volg op met projek-sperdatums en verseker tydige voltooiing van belangrike take.
- Koördineer projekafleweringstydlyne met verskaffers en die ontwerp-span.
- Reël en monitor besigheidsevenemente en belanghebbende skakeling.
Finansiële Take:
- Verkry en bestel kantoor- en projekvoorrade, dienste en toerusting.
- Verwerk verskaffer-fakture, kredietnotas en betalings akkuraat.
- Berei kliëntekwotasies en aankoopbestellings voor en bestuur dit.
- Help met kontantvloei-beplanning, begroting en finansiële voorspellings.
- Hersien en versoen finansiële state, fakture en betalingsrekords.
- Bou en handhaaf sterk verhoudings met verskaffers, handelaars en finansiële diensverskaffers.
Minimum Vereistes:
- Bevestigde ondervinding as ‘n Uitvoerende Assistent, Persoonlike Assistent of in ‘n soortgelyke administratiewe rol (ervaring in die interieurontwerpbedryf sal voordelig wees).
- Sterk finansiële insig, insluitend ondervinding met begroting, kontantvloei-bestuur en finansiële beplanning.
- Bekwaam in Microsoft Office (Excel, Word, Outlook) en die vermoë om verslae saam te stel en sigblaaie te bestuur.
- Uitstekende kommunikasie-, organisatoriese- en tydsbestuursvaardighede.
- Die vermoë om vertroulikheid te handhaaf en sensitiewe inligting met diskresie te hanteer.
- Sterk probleemoplossing en analitiese vaardighede.
- Eie bertroubare vervoer met geldige bestuurslisensie.
Vaardighede & Eienskappe:
- Ervaring met boekhoudkundige sagteware (Sage Accounting of soortgelyk) is ’n pluspunt.
- Kennis van verkryging en voorsieningskettingbestuur sal voordelig wees.
- Sertifisering in Uitvoerende Assistent, Administrasie, of ’n verwante veld sal ’n voordeel wees.
- Aandag tot detail en akkuraatheid in beide administratiewe en finansiële take.
- Die vermoë om onafhanklik te werk, terwyl samewerking met verskeie spanne belangrik bly.
- Professioneel, proaktief en aanpasbaar in ‘n vinnige werksomgewing.

Key Responsibilities:
Administrative Tasks:
- Manage the Director’s calendar, schedule meetings, and coordinate travel arrangements.
- Prepare, review, and distribute reports, presentations, and correspondence.
- Maintain accurate and up-to-date records, databases, and filing systems.
- Provide administrative support for meetings, projects, and company events.
- Develop and implement office procedures and administrative workflows.
- Track project deadlines, follow up on key tasks, and ensure timely execution.
- Coordinate project delivery timelines with suppliers and the design team.
- Arrange and oversee business events and stakeholder engagements.
Financial Tasks:
- Source and place orders for office and project supplies, services, and equipment.
- Process supplier invoices, credit notes, and payments accurately.
- Prepare and manage client quotations and purchase orders.
- Assist with cash flow planning, budgeting, and financial forecasting.
- Reconcile financial statements, invoices, and payment records.
- Develop and maintain relationships with suppliers, vendors, and financial service providers.
Minimum Requirements:
- Proven experience as an Executive Assistant, Personal Assistant, or in a similar administrative role (experience in the design industry would be advantageous).
- Strong financial acumen, including experience in budgeting, forecasting, and cash flow management.
- Proficiency in Microsoft Office (Excel, Word, Outlook) and the ability to create reports and manage spreadsheets.
- Excellent communication, organizational, and time management skills.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Strong problem-solving and analytical abilities.
- Own reliable transport with valid driver’s license.
Skills & Attributes:
- Experience with accounting software (Sage Accounting or similar) is a plus.
- Knowledge of procurement and supply chain management would be beneficial.
- Certification in Executive Assistance, Administration, or a related field would be advantageous.
- High attention to detail and accuracy in both administrative and financial tasks.
- Ability to work independently while coordinating across multiple teams.
