Job Description


As Technical Services Coordinator you will collaborate with colleagues to inspire customer moments of delight and pursue amazing outcomes each day. Be an ambassador of a one team approach within the technical operations team, representing company and client.

Responsible for the day-to-day supervision of the Technical Services element of the facility management contract including the engineering teams and contractors, proactively leading the maintenance provision across multiple sites.

1. Responsible for ensuring the asset management database is kept up to date in regards to asset and maintenance information.
2. Scheduling of the maintenance activities in collaboration with the Engineering Teams.
3. Making sure all Planned and Reactive tasks are made available to technicians within SLAs.
4. Closing out of completed maintenance jobs and ensuring all necessary information is entered onto the system in a timely manner.
5. Monitor progress of all Planned and Reactive tasks completing any backlog.
6. Monitoring the status of the Reactive order works, identifying and addressing any areas of delay.
7. Ensure that the correct charge coding is assigned to the reactive works so all rechargeable works are fully captured.
8. Production of reports required from the asset management database to ensure the planned preventative maintenance is being undertaken in accordance to the requirements of the contract.
9. Keeping PPM related records (both soft and hard copy) in a safe manner and in a system where they can be easily accessed and retrieved as required.
10. Ensure any newly installed assets are identified and entered onto the PPM system and the appropriate maintenance schedule set up.
11. Ensure that consumable materials required to undertake PPM activities are ordered and received in a timely manner.
12. To assist in the preparation and generation of quotations for additional works.

Quality, Health, Safety and Environment

● To bolster safety practices you will review method statements, MSDS’s and ensure relevant permits to work are issued prior to work commencing through the online permitting system.
● You are accountable for the legislative compliance in relation to Health and Safety for all building operations activities and ensure compliance with company/client policies and procedures.
● Safety is achieved through complying with process you will ensure that Method Statements and Risk Assessments are reviewed and all actions identified are carried out to ensure safe working practices.
● Safety of the team is a key focus and you ensure a safe & healthy working environment, through compliance with all company policies and procedures, as well as client site policies, procedures and working arrangements.
● When changes are made to policies, procedures and standards you are responsible for communication of these to the technicians and ensuring they are being followed, reporting any breaches to the Technical Service Manager.
● You actively identify equipment that does not meet existing or upcoming statutory, Health and Safety or environmental regulations and report your findings to your manager.
● You will notify line manager immediately of any breaches of Health & Safety. 
● You actively foster, in cooperation with company and clients personnel, an ethos and culture of safety awareness where safety is accepted as an integral part of the overall business.
● Work with company personnel, contractors and visitors to ensure that all safety policies, procedures and regulations are fully adhered to across the facilities on an ongoing basis for the technical services.
● Company has deployed well developed and thorough QHSE Log books you are expected to Maintain these
as required and this is fundamental to your role.
● You strive for ZERO reportable accidents / incidents as result of company action or inaction (Company Corporate / Country Legislative reportable requirement).
● You ensure the Integrated Environmental Health and Safety Management Systems are adhered to at
all times.

● To evidence our commitment to safety you ensure all safety audits of buildings, plant rooms and roof areas are carried out.
● To safeguard everyone using the space you ensure QHSE actions are remediated and closed within specified time frame.

Operations
● You lead or contribute to team huddles and meetings where applicable.
● You ensure all specific facilities issues are logged and ensure remedial actions are completed proactively.
● You ensure ad hoc support requests are recorded within company systems.
● You continually assess all plant and equipment meets existing and upcoming legislation and that all equipment is maintained in accordance with agreed specifications. 
● Engagement with customers is key and you are proactive in ascertaining their needs and concerns and provide them confidence in the service to be delivered.
● You should actively seek to inform all relevant team members of any instances where service could be impacted at the time it occurs.
● Data is vital and you work hard to maintain its integrity in order to produce suitable periodic and ad hoc informative reports as requested by our Client or company management.
● You act as the focal point for all matters regarding the impact on the customers and their facilities. 
● Quality is an essential part of delivery you regularly engage in assurance monitoring and spot checks on
self perform planned, reactive works and third party works
● You provide guidance relating to the delivery of technical services required to support the operation of all building operating systems.
● You are responsible for ensuring that the work plan is managed to the maximum effect.
● You understand the importance of the CMMS system (Maximo) and the dependance on accurate data as such you ensure the system reflects accurate asset lists, maintenance records/specifications, preventative plans and historic records.
● Demonstration of success is key to this role and you will strive to excel in the delivery of KPI’s and 
SLA’s for the region.
● You effectively communicate progress in the work plan, possible delays or changes of the work completion date to your line manager and client Champion the ongoing development of the CMMS system and ensure standard consistent working practices allow for the further utilization of functionality across the region when 
available.
● You actively seek data for improvement and utilize the information from the CMMS system to inform business decisions and produce MI for the client.

People
● You drive a culture of high motivation, recognition and engagement, ensuring all reports have development plans whilst actively encouraging training Team success is of high importance to you and as such you seek to constantly motivate performance and embed Performance Management cycle.
● You understand team development and strength areas and ensure opportunities for growth and succession planning, you coach team members using CBRE core training matrix as a guide.
● You provide management guidance and lead the team including overseeing the allocation of work, attendance and performance management to exceed the customers expectations and ensure best practice prevails.
● You actively engage company people team and ensure guidance is provided in all company People policies and processes.
● You liaise closely with operations and the support teams ensuring recruitment and retention of appropriate staff as required

Supplier Management

You complete regular reviews with contractors to measure performance and ensure best value is being achieved, through benchmarking if required.
You are the escalation point for the management of severe supplier non conformance.
You work collaboratively with suppliers to produce improvement and actions plans when required.
You manager third party maintenance contracts through company systems, including regular contract reviews

Finance
You record all costs incurred as part of the provision of Services and ensure they are tracked and reported for charging and auditing purposes.
You adhere to the change control process to capture alterations and additions to existing plant and equipment.
You assist the Technical Services Manager with the preparation of monthly operation and financial reports. 
You audit and check items being ordered to ensure restocking charges are accurate and also request regular bench marking to be undertaken. 
You are responsible for the management of the client spend approval process being adhered to. 
Where required you engage in the commercial process where third party works or materials are 
required on site.
Obtain Quote > Request Spend > Issue PO > Communicate on invoicing.

Project and Programs

You recognize the benefits of a strong working relationship with CBRE Projects teams and you actively develop this at every opportunity, you are accountable for sign off of technical services in refurbishments, renovations, fit-outs and new buildings.
You organize your team to ensure delivery of ad-hoc projects to enhance the office environment or in reaction to Client requests.
You manage on site minor works projects your teams are directly involved in.
You review existing building operating systems and identify opportunities to decrease energy usage and increase operating efficiencies.
You lead by example and Identify and suggest innovations that will drive account improvement, through the sharing of best practice ideas and encouragement of a continuous improvement culture.
You attend where required to assist project teams on large scale refurbishments, fit-outs or new builds associated with contract.

Undertake all other duties & tasks as reasonably requested by your line manager

Candidate Requirements:
●  Relevant qualification in Mechanical and Electrical field
●  H&S qualification – IOSH, NEBOSH
●  Language – fluency in written and spoken English
●  Excellent analytical and problem-solving skills
●  An eye for detail and good design
●  Strong communication skills
●  Excellent time management skills
●  The ability to work well both as part of a team and on your own
●  Strong technical drawing skills
●  Broad technical knowledge and understanding of FM and building systems
●  Must be able to demonstrate a sound knowledge of all systems within the building services environment
●  05+ years experience in a similar building environment
●  Dependable and flexible, able to work independently as well as part of a team.
●  Responsive to customer requests in an empathic, supportive and productive manner
●  Experience of working within a maintenance Team
