Receptionist Intern

The receptionist will oversee the front desk and switchboard, creating a professional and welcoming atmosphere for visitors, customers, and guests at the company.

The candidate will handle theatre bookings, and guest viewings, and ensure a seamless visitor experience with strong communication and organisational skills.

Required skills and qualifications

Education

  • Grade twelve or equivalent

Certifications (preferred)

  • Microsoft, basic computer skills

Technical skills

  • Experience with Windows operating systems
  • Familiarity with Office 365

Soft skills

  • Basic administrative or customer service training is advantageous but not required
  • Must be customer-oriented, well-groomed, and able to handle high-pressure situations with professionalism
  • Must have a good understanding of the importance of a strong frontline image and act as a brand ambassador for Tuning For (Pty) Ltd
  • Excellent communication and customer service abilities
  • Ability to work independently and within a team
  • Good documentation and organisational skills

Key responsibilities

Reception and front desk management

  • Greet and assist visitors professionally
  • Offer refreshments and ensure guest comfort
  • Manage visitor appointments and direct customers appropriately
  • Handle queries and complaints with professionalism
  • Maintain a tidy and brand-aligned reception area
  • Coordinate visitor interactions with World of Yamaha staff
  • Receive courier deliveries and notify relevant departments

Switchboard and call handling

  • Answer and direct calls efficiently
  • Identify caller needs and transfer calls appropriately
  • Take and deliver accurate messages promptly
  • Make outgoing calls as requested by management
  • Maintain and update contact lists
  • Monitor and report telephone line issues

Theatre management and guest facilitation

  • Schedule and coordinate theatre bookings
  • Assist guests with theatre viewings and provide information
  • Ensure theatre facilities are well-maintained
  • Work with the internal team to manage theatre logistics

General administration and support

  • Update and rotate reception display materials
  • Inform frontline staff of guest arrivals
  • Report any faulty equipment in reception and theatre areas
