Hoof Verantwoordelikhede:

  • Hanteer alle epos navrae, eskalasies een verlengengsversoeke doeltreffend.
  • Opstel, opdatering en instandhouding van departementele beleide om te verseker dat die span goed ingelig bly.
  • Koördineer naweek-werkskedules vir optimale spandoeltreffendheid.
  • Moniteer weeklikse en maandelikse teikens om te verseker dat dit in lyn is met departementele doelwitte.
  • Hersien span-KPI’s daagliks via WhatsApp en Teams en verskaf konstruktiewe terugvoer.
  • Spreek swak prestasie aan deur formele waarskuwings sodat ‘n regverdige en motiverende omgewing gehandhaaf word.
  • Versamel portuur evaluasies (peer reviews) en teken dit akkuraat op in Excel vir prestasiebeoordelings.
  • Reël een-tot-een sessies met spanlede om vordering en loopbaanontwikkeling te bespreek.
  • Onderhou gestandaardiseerde kommentare om duidelike en konsekwente kommunikasie te verseker.
  • Stel omvattende statistiekverslae saam vir bestuur se ontleding en strategiese beplanning.
  • Bestuur die departement se maandelikse begroting en voer strategieë uit gebaseer op begrotingsbehoeftes.
  • Skeduleer en lei weeklikse en maandelikse doelwit-inloer sessies om vordering te beoordeel en doelwitte te herfokus.
  • Hou gereelde span inloer-sessies om spanmoraal te bevorder, terugvoer te gee en die span gemotiveerd te hou.

 

Minimum Vereistes:

  • Beproefde ervaring in ‘n bestuurs-, toesighoudende of persoonlike assistent-rol.
  • Sterk organisasie en “multitasking”-vaardighede met ‘n fyn oog vir detail.
  • Uitstekende kommunikasie- en interpersoonlike vaardighede.
  • Vaardigheid in Microsoft Office Suite, veral Excel.
  • Die vermoë om onder druk te werk en verskeie prioriteite effektief te bestuur.
  • Sterk probleemoplossings- en besluitnemingsvaardighede.
  • Ervaring met KPIs en spanprestasie-bestuur.
  • Bekendheid met begrotingsbestuur en strategiese beplanning.
  • Leierskapseienskappe met die vermoë om ‘n span te inspireer en te motiveer.

Key Responsibilities:

  • Efficiently manage inbox queries, responses, escalations, and extensions to ensure smooth communication.
  • Draft, update, and maintain departmental policies to keep the team well-informed.
  • Coordinate weekend working schedules for optimal team efficiency.
  • Monitor weekly and monthly targets to ensure alignment with department goals.
  • Track and review team KPIs daily via WhatsApp and Teams, providing constructive feedback.
  • Address underperformance issues through structured warnings or strikes while maintaining a fair and motivating environment.
  • Collect and accurately capture peer reviews onto Excel for performance evaluations.
  • Organize one-on-one check-ins with team members to discuss progress and career growth.
  • Maintain standardized comments to ensure clear and consistent communication.
  • Compile comprehensive statistics reports for management analysis and strategic planning.
  • Manage the department’s monthly budget, generating ideas and implementing budget-related strategies.
  • Schedule and lead weekly and monthly target review sessions to assess progress and realign goals.
  • Host regular check-ins to boost team morale, provide feedback, and keep the team engaged.

 

Minimum Requirements:

  • Proven experience in a management, supervisory, or personal assistant role.
  • Strong organizational and multitasking skills with keen attention to detail.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite, particularly Excel.
  • Ability to work under pressure and manage multiple priorities effectively.
  • Strong problem-solving and decision-making abilities.
  • Experience with KPI tracking and team performance management.
  • Familiarity with budget management and strategic planning.
  • Leadership qualities with the ability to inspire and motivate a team.
