Job Description


Winning Form has an exciting opportunity available for an Operations Support Specialist to be based in Umhlanga, Durban. The successful candidate will be responsible for providing essential support to the Operations Support Team Leader by performing a variety of tasks that ensure the smooth and efficient functioning of the department. The ideal candidate will have strong analytical skills and proficiency in Microsoft Excel to assist in data analysis, reporting, and process improvement initiatives. The ability to communicate with Key stakeholders at all levels to gather and distribute information both written and verbal back to the operational team with the ability to build process and reports.

Minimum requirements:
 • 2 – 3 years’ experience in an operations or administrative role.
 • 1 – 2 years’ experience in interpreting data and creating reports.
 • 1 – 2 years’ experience using Microsoft Excel (using complex formulas, pivot tables, and working with             database queries)
 • The ability to understand and analyse financial concepts and data.

Advantageous:
 • A Valid Driver’s License.

Responsibilities:

Core Operational Duties
 • Assist in daily operational tasks and administrative duties.
 • Coordinate with different departments to ensure timely execution of tasks.
 • Maintain and organize operational documentation and records.
 • Assist in keeping track of all requests and task from Manager and Senior Management team.
 • Planning meetings and taking detailed minutes
 • Assist in the planning and execution of special projects as required.
 • Provide support for events, training sessions, and other company activities.
 • Track project timelines and deliverables, ensuring deadlines are met.
 • Assist in the Collection, analysis, and interpretation of operational data to support decision-making         
  processes.
 • Assist in Generation of regular reports and summaries of operational performance metrics.
 • Identify trends, patterns, and areas for improvement through data analysis.
 • Develop and maintain Excel spreadsheets to track and analyse key performance indicators (KPIs).
 • Create complex Excel formulas, pivot tables, and charts to visualize data effectively.
 • Automate repetitive tasks using Excel and other tools.
 • Assist in the development and implementation of process improvement initiatives.
 • Collaborate with team members to streamline workflows and enhance efficiency.
 • Document new procedures and assist in training staff on process improvements derived from data insight
   decision and at the request of your manager for implementation.
 • Communicate effectively with internal teams and external partners.
 • Schedule and coordinate meetings, ensuring all relevant information is prepared and disseminated.

People
 • Performance must be tracked by yourself, and the onus is placed on you to set-up performance review     
   meetings with the Operations Support Team Leader.
