Human Resources Systems Manager
Job Description

The HR Systems Manager (HRSM) is responsible for the management and maintenance of Anova’s HR systems to allow the organisation to process employee data, generate HR-related reports, manage system upgrades, maintain data integrity, as well as to provide information and analysis to enable HR management decision making. The HRSM will support and maintain Anova’s specialised and internal HR systems, services, and applications used across the organisation. These systems may range from manual to fully automated systems and may require customised or specialised support.
The HRSM will ensure that all HR-related systems are regularly updated and compliant with all relevant regulatory and donor regulations. In addition to having excellent written and verbal communication skills, they will also possess in-depth knowledge of HR-related software and databases.
Key duties and responsibilities:
HR Systems Management
- Advice and support Anova’s leadership and management on HR systems structure and implementation.
- Collaborate with executive leadership and other HR colleagues to identify improvements and enhancements to existing systems, recommending and implementing approved solutions.
- Oversee all system upgrades and system additions in partnership with the Information Technology (IT) department and external suppliers.
- Oversees the procurement of appropriate hardware and software to ensure that the organisation has high quality, efficient systems.
HR systems Implementation and Maintenance
- Oversee and maintain optimal function of Anova’s HR digitization roadmap, information systems, which may include manual and electronic systems, and within the latter, database management, network support, installation, customisation, development, maintenance, and upgrades to applications, systems, and modules.
- Oversee and maintain internal database files, tables, codes, backup files, integrity, and security related to HR.
- Install, implement, modify, and upgrade Anova HR systems as needed, including software and applications, to meet changing business needs and technology advances.
- Manage permissions, access, personalisation, and similar system operations and settings for HR system users.
- Serves as lead representative and liaison between HR, external HR systems suppliers and other stakeholders, and communicating system design and implementation project needs.
- Work alongside the IT department to perform regular assessments and improvements to HR systems.
HR Systems Training
- Provides technical support, troubleshooting, and guidance to HR systems users.
- Partners with HR staff to ensure all systems users are trained on the correct use of the various systems.
- Partners with programme management staff to provide adequate HR systems training to Anova staff ahead of critical business processes.
- Design user-friendly processes, guidelines, and documentation for user reference and for use during training.
Data Security and Management
- Ensures system compliance with data security and privacy requirements, including donor and regulatory requirements, including POPI.
- Maintains knowledge of trends and developments in data management and security, HR technology, and HR systems and applications.
- Suggests improvements and upgrades to systems and processes to ensure data security.
- Recommends policy and procedures improvements to maximise efficiencies in the management of data while safeguarding privacy.
- Maintain data integrity in systems by regularly analysing data.
Analytics and Reporting
- Serves as the domain expert for human resources analytics.
- Provides management support to the HR function in the areas of people metrics, reporting, and advanced predictive analytics.
- Supports the HR team to identify business challenges and use data analysis to help influence changes to the operations, processes or programmes.
- Utilises technology and analytical tools to develop and analyse enterprise-wide people and other cross functional data as needed.
- Collaborates with subject matter experts across the HC service areas to promote data governance and stewardship, and to improve overall strategic and operational performance.
- Compiles or assists with acquisition of complex data reports, summaries, and logs requested by HR staff and managers.
Any other duty as agreed with line manager.
Minimum qualifications, experience and skills required:
- Bachelor’s degree in at least one of the following disciplines: Human Resources, Information Technology or related area.
- Minimum of 5 years of HR generalist experience.
- Minimum of 5 years’ experience in a similar HR system manager role.
- Minimum of 5 years’ experience as an ERP HR System Specialist. Demonstrated ability to creatively solve HR related problems.
- Ability to build strong working relationships across all levels of the organization.
- Computer literacy and proficiency in MS Office.
- Knowledge and experience working with BCEA, Employment Equity Act, Skills Development Act and Labour Law.
