We are looking to appoint Faculty Administrator : Law (X2).

Overall Job Purpose: 
The position is responsible for the delivery of allocated administrative tasks related to academic and operational delivery within the Faculty/School, which may include tasks associated to material development and delivery, briefing, editing, moderation, graduation and support to the administrative team.. These tasks need to be delivered at agreed policy, process, system and quality levels, under the supervision of a Faculty Manager/Faculty Coordinator. 

Duties and Responsibilities:

Developer briefing administration

  • Based on an approved development plan, completes contracts, annexures and briefing documents for the developer.
  • Shares contract and supporting documents with the developer and ensures signed contractual documents are returned.
  • Responsible for creating and tracking the progress according to development due dates.
  • Supports the Developer with any administrative requirements they might have.
  • Uploads the material onto the system for the relevant responsible academic or Faculty Coordinator to check if it meets the contract requirements.
  • Responsible for ensuring invoice is received and that the developer is paid once necessary approvals have been completed.

Material delivery administration

  • Receives development plan with module tasks as per Standard Operating Procedure (SOP) to begin workflows for responsible academic.
  • Creates workflow and assigns to responsible academic for that module.
  • Accountable for ensuring moderated and edited module work is returned timeously.
  • Responsible for uploading to the system for feedback.
  • Reviews feedback and actions accordingly as per instructions from responsible academic.
  • Uploads and approves the final version for brands to print/upload.

Moderation administration instrument

  • Shares contract agreement and annexures with approved moderator.
  • Responsible for sharing report template and instrument for moderation.
  • Ensures the signed contract is returned.
  • Receives moderated papers and report and workflows this to responsible academic for review.
  • Supports the moderation cycle from start to end.
  • Responsible for ensuring moderators invoice is processed and payment takes place once moderation cycle is complete.

External moderation of invigilated and non-invigilated summative assessment scripts

  • Shares contract agreement and annexures with approved moderator.
  • Ensure signed contract is returned.
  • Shares summative assessment with moderator via email or link is provided.
  • Tracks the cycle from start to finish to ensure deadlines are met.
  • Reviews comments on the MCS, and sends to the responsible academic for verification and approval.
  • Responsible for ensuring moderators invoice is processed and payment takes place once moderation cycle is complete.

Collaboration

  • Provides operational support for operations projects that take place during the academic year such Graduation.
  • Works closely with the Faculty Manager and Faculty Coordinators in providing a holistic/measured/well-rounded and considered approach to issues and challenges that exist.

Editing

  • Final Editing of material and assessment instruments prior to delivery

Minimum Educational Requirement:

  • Minimum of a Diploma (NQF Level 6).
  • Candidates with a matric and 5 years academic administration and operations experience will be considered.

Minimum Work Requirement:

  • 3 years experience in academic administration and operations management experience within a Tertiary Academic Institution.
