Are you a mature, experienced professional with exceptional organisational and communication skills? We are seeking a proactive Executive Personal Assistant to join our team. Ideally, you live in or near Tokai, Steenberg, or the Southern Suburbs.
Key Responsibilities:
Calendar Management:
- Proactively manage and organise executives’ schedules.
- Coordinate and prioritise appointments, meetings, and commitments.
Communication:
- Serve as the primary contact between executives and internal/external stakeholders.
- Manage emails, phone calls, and correspondence, ensuring timely responses and follow-ups.
Meeting Coordination:
- Schedule and prepare materials for meetings, including agendas, presentations, and reports.
- Attend meetings, take minutes, and distribute them promptly to relevant parties.
Travel Arrangements:
- Plan and coordinate travel, including flights, accommodations, and ground transport.
- Prepare detailed travel itineraries and address all travel needs.
Document Management:
- Maintain electronic and physical filing systems for easy access to important documents.
Administrative Support:
- Assist with expense reporting, document preparation, and data entry.
Confidentiality:
- Handle sensitive information with discretion and maintain confidentiality.
Requirements:
- Diploma or degree (preferred).
- 5–10 years of proven experience in a similar role.
- Strong minute-taking skills.
- Excellent organisational and communication abilities.
- High level of professionalism and discretion.
- Comfortable working in a dynamic environment.
Location Preference:
Candidates residing in Tokai, Steenberg, or the Southern Suburbs will be prioritised.
