Client Services Specialist

RESPONSIBILITIES

Client and Fund Administration

  • Completing client onboarding / account setup /maintenance of client information.
  • Instructing custodians to set up cash, scrip, YIELDX and call accounts.
  • Preparing/sending creditor loading forms.

Operational Processes

  • To maintain and update the current standard Service Level Agreement (SLA) and service standards
  • Ensuring accurate and timely processing of client transactions, including investments, disinvestments, and transfers.
  • Overseeing cash, scrip, and call account reconciliations, with accountability and reporting responsibilities.
  • Preparing daily cash flow instructions for processing client transactions.
  • Reviewing and forwarding unit trust flows for institutional execution by OMUT.
  • Sending unit trade instructions to Curo for processing.
  • Conducting intra-day checks on cash balances.
  • Verifying midday and end-of-day (EOD) EFT confirmations from Curo.
  • Performing an end-of-day cash flow check to confirm all transactions have processed.
  • Reviewing cashflow emails from OMUT to ensure all FG client instructions are complete.
  • Coordinating monthly management fee collection.
  • Managing relationships with custodians, trustees, Curo, OMIG, and FGAM internal teams.

Transitions

  • Coordinating with clients and internal teams to oversee the transition process from start to finish.
  • Gathering and analyzing data to verify the accuracy of asset transfer records, performing reconciliations to resolve discrepancies promptly. Handling daily operations involved in asset transitions, including account setup, trade processing, cash transfers, and position reconciliations.
  • Acting as a liaison among internal teams, custodians, clients, and service providers to ensure smooth information flow and accurate transition execution.
  • Assisting the CRM team with client inquiries, providing updates, and addressing any client concerns in a timely and professional manner.

Additional specialist responsibilities

  • Coordinating overall management fee collection processes and interest claims

Requirements:

  • BCom / B Com Hons or similar qualification, with a focus on financial subjects, or a qualification in related field
  • 5 years’ experience in Asset Management Portfolio Administration/Portfolio Onboarding and transitions, client services or a related operational role.
  • Strong technical knowledge of client administration transactions/ financial instruments
  • Knowledge of Asset Management Operation
  • Familiarity with asset management operations, including cash flow processing, reconciliation, transitions, and portfolio administration experience (Non negotiable)
  • Proficient in Excel (including formulae, and the manipulation of data and spreadsheets).
  • Proficient in Hi-Port or similar
  • Understanding of, and experience with, segregated and unitized funds
  • Understanding of investment products and regulatory requirements in South Africa is advantageous.
