Title:                              Admin Assistant

Remuneration:                TBA depending on experience

Unifi is a fast-growing finance and technology company operating in Kenya, Zambia, South Africa, Uganda and Tanzania. Unifi delivers personal lending products through online, mobile phone and branch channels. The company is well supported by strong shareholders and a board of directors with vast experience in entrepreneurship and lending.

 

The role

The company is seeking an administrative assistant to support the overall operations of head office while also managing diary planning, office administration, travel arrangements and reception. The ideal candidate must be friendly, energetic, and approachable, with excellent organizational skills and a willingness to take on a wide range of tasks. A high level of computer literacy, keen attention to detail, a positive attitude, a spirit of adventure, and a good sense of humour would be highly beneficial.

 

Responsibilities

Administrative & Executive Support

  • Manage confidential correspondence as assigned.
  • Schedule meetings and take minutes.
  • Manage diaries and calendars for leadership.
  • Act as an executive and personal assistant.
  • Make travel arrangements for visitors and staff members.
  • Assist with administrative HR functions
  • Assist with recruitment.
  • Ensure Unifi is a fun place to work

Office Management

  • Manage office supplies and maintenance, including cleaners, contractors, and suppliers.
  • Answer incoming phone calls and receive visitors.
  • Coordinate messenger and courier services, including document and letter deliveries.
  • Maintain office filing and storage systems.
  • Perform work-related errands such as purchasing client gifts, going to the post office, and banking.
  • Notify administration when materials are running low for central ordering.
  • Manage office affairs, including maintenance, parking, and fire drills.
  • Oversee cleaning staff and liaise with the building manager.

Requirements

  • Diploma in Management Studies or any administration related field.
  • Knowledge of customer service practices and principles
  • Excellent data entry and typing skills.
  • Superior listening, verbal, and written communication skills
  • Ability to handle stressful situations appropriately.
  • Multitasking and time -management skills, with the ability to prioritize tasks.
  • Experience in Office Management will be an added advantage.
