Job Summary:
The Recruitment Specialist is responsible for overseeing both general HR administrative functions and the recruitment lifecycle. The role involves managing employee relations, records, while sourcing, screening, and onboarding talented candidates. This role ensures the smooth execution of HR operations and a seamless recruitment process.
Key responsibilities:
HR administration
Recruitment and onboarding:
- Posting job vacancies, managing job boards, and sourcing candidates.
- Screening and shortlisting applicants for open roles.
- Issuing offer letters, contracts, and onboarding documents.
- Coordinating interviews, assessments, and facilitating the induction process.
Employee records management:
- Maintaining accurate and up-to-date employee records (physical and digital).
- Tracking personal information, contracts, and benefits.
- Ensuring compliance with data protection regulations.
Leave management:
- Tracking employee leave (annual, sick, maternity).
- Ensuring leave records align with company policies.
Employee relations:
- Assisting with employee concerns and queries.
- Supporting disciplinary and grievance procedures.
HR reporting:
- Preparing HR reports (e.g., headcount, turnover, absence rates).
- Monitoring HR metrics to suggest improvements.
Talent acquisition:
- Collaborating with hiring managers to define staffing needs.
- Developing sourcing strategies through job boards, networking, and social media.
- Identifying hard-to-find candidates for specialized roles using creative sourcing techniques.
Screening and interviewing:
- Conducting initial interviews to assess candidate qualifications and fit.
- Scheduling and coordinating interviews with hiring managers.
- Performing reference and background checks as part of the vetting process.
Candidate management:
- Building a pipeline of qualified candidates for current and future roles.
- Managing the candidate experience by keeping applicants informed.
- Providing feedback to unsuccessful candidates and offering guidance on future opportunities.
Offer management:
- Collaborating with hiring managers to negotiate and extend job offers.
- Ensuring a smooth onboarding process for new hires.
Compliance and Reporting:
- Ensuring recruitment processes comply with legal and internal guidelines.
- Tracking recruitment metrics like time-to-fill and candidate satisfaction.
- Reporting recruitment activity to HR and leadership teams.
Skills and competencies
- Strong understanding of both HR administration and recruitment processes.
- Proficient in using HR and applicant tracking systems (ATS) and recruitment software.
- Excellent communication and interpersonal skills, both verbal and written.
- Ability to multitask and manage various HR functions and vacancies simultaneously.
- Strong organisational skills with attention to detail.
- Familiarity with labour laws and employment regulations.
- Ability to work independently and collaboratively within a team environment.
Qualifications
- Bachelor’s degree in Human Resources, Business Administration, or a related field.
Experience
- 2+ years of experience in HR and recruitment, ideally in a fast-paced environment.
- Experience recruiting across various roles and industries is beneficial.
