Finance Assistant
Job Description

The Role:
We are looking for a Finance Assistant to assist our finance team in administering accounting operations. You should be familiar with audits, invoices, preparing and filing tax returns and budget preparations. The ideal candidate should demonstrate interest in managing accounting activities such as bank reconciliations, tax submissions, accounts payable and accounts receivable. You should also have excellent organisational skills and be able to handle time-sensitive tasks. Ultimately, you’ll be responsible for assisting the day-to-day management of financial transactions and procedures.
Key Responsibilities:
Maintain Accurate Records for All Daily Transactions:
- Ensure all financial transactions are recorded promptly and accurately.
- Maintain organized records of all transactions, invoices, receipts, and relevant documentation.
- Assist in updating and maintaining the financial database, ensuring all records are correct and up-to-date.
Assist in the Preparation of Management Accounts:
- Collaborate with the finance team to gather and compile data for management accounts.
- Support month-end and year-end financial closing procedures.
- Help generate financial reports that provide insights into business performance.
Communicate with Suppliers:
- Act as a point of contact for supplier inquiries, addressing issues related to invoices, payments, and purchase orders.
- Maintain positive working relationships with suppliers to ensure smooth communication and effective resolution of disputes.
- Manage supplier records and contact details, ensuring they are accurate.
Process Supplier Invoices and Supplier Reconciliations:
- Review and verify supplier invoices for accuracy before processing.
- Match supplier invoices to purchase orders and ensure they are coded correctly.
- Reconcile discrepancies between supplier statements and company records, escalating issues when necessary.
Assist with Reconciling Accounts Payable and Accounts Receivable:
- Help prepare accounts payable and receivable reconciliations regularly.
- Identify, investigate, and resolve any discrepancies or anomalies in payables and receivables.
Update Internal Systems with Financial Data:
- Update financial systems with data on expenses, revenue, payments, and receipts.
- Ensure that all systems are kept current with the latest financial information.
Reconcile Bank Statements:
- Assist in the monthly reconciliation of bank accounts to ensure accuracy between internal records and bank records.
- Investigate any discrepancies and coordinate with the finance team for resolutions.
Assist Finance Team with Financial Audits:
- Gather and organize necessary documents to support financial audits.
- Assist auditors by providing relevant financial data and answering questions to facilitate the audit process.
- Ensure compliance with internal policies and procedures during audits.
Assist with Daily Liquidity Management:
- Support the finance team in managing daily cash flow to meet operational needs.
- Help monitor cash balances and forecast cash requirements.
Assist with Ad Hoc Projects or Requests from the Finance Team:
- Provide administrative and clerical support for special financial projects as assigned.
- Adapt to various finance-related requests, which may include research, analysis, or preparation of financial documents.
- Work collaboratively with other departments to ensure the effective implementation of finance initiatives.
Required Qualifications and Skills:
- Bachelor’s Degree in Finance, Accounting or Economics
- Proven work experience as a Finance Assistant or similar role
- Solid knowledge of financial and accounting procedures
- Experience using financial software (Quickbooks will be of benefit)
- Advanced MS Excel skills
- Knowledge of financial regulations
- Excellent analytical and numerical skills
- Sharp time management skills
- Strong ethics, with an ability to manage confidential data
