Job Description


    • Manage the MD’s calendar and correspondence.
    • Prepare reports and maintain office systems (data management, equipment, filing).
    • Proficiency in Word, Excel, and PowerPoint is essential.
  1. Property Management:
    • Oversee utility accounts, maintenance, insurance, and lease agreements.
  2. Vehicle Management:
    • Arrange repairs, services, insurance, and purchases for company vehicles.
  3. Event Planning:
    • Organize corporate events, including guest management and venue arrangements.
  4. Travel Management:
    • Book flights, hotels, and visas for corporate and personal travel, ensuring all documentation is accurate.
  5. Personal Duties:
    • Assist with household staff management, appointments, errands, and personal shipments for the MD.
  6. General Administration:
    • Oversee reception staff and equipment repairs, and coordinate client gifts.
  7. Daily Duties:
    • Manage personal schedules and check maintenance tasks related to vehicles and property.
  8. Travel Requirements:
    • Occasional international travel for global conferences (7-14 days).
    • Local travel for game lodge preparations and sponsored events.
  9. Airbnb Management:
    • Manage international properties, including issuing access codes and handling bills, with potential after-hours attention required.

Qualifications:

  • Education: Bachelor’s degree in Business Administration, Management, or a related field.
  • Experience: Minimum of 5 years in an executive assistant or similar role, preferably supporting senior management.
  • Skills:
    • Strong organizational and time-management skills.
    • Excellent written and verbal communication abilities.
    • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
    • Experience with property and vehicle management is a plus.
  • Personal Attributes:
    • Proactive, adaptable, and able to manage multiple tasks effectively.
    • Professional appearance and demeanor.
    • Strong interpersonal skills, capable of engaging with diverse personalities.

Additional Information:

  • Ideally aged 30-40, but mature candidates outside this range will be considered.
  • Must have a reliable support system if children are involved due to potential travel commitments.
