Key responsibilities:
Client relationship management:
- Engage with clients to understand event objectives and gather comprehensive briefs.
- Translate client requirements into actionable event plans.
- Serve as the primary point of contact for clients throughout the event lifecycle.
- Manage client expectations and provide updates on event progress.
- Conduct post-event debriefs and gather client feedback.
Event planning and conceptualisation:
- Develop creative event concepts aligned with client goals.
- Produce detailed mood boards and event decks for client approval.
- Create production schedules and timelines for each event.
- Coordinate with marketing teams to ensure brand consistency in events.
Supplier management and costing:
- Source and brief suppliers for event services, including venues, catering, technical services, and equipment.
- Obtain and compare quotes to ensure competitive pricing.
- Negotiate contracts with suppliers, ensuring the best value for money.
- Manage supplier relationships and oversee their performance on-site.
Budget management and KPI tracking:
- Prepare detailed budgets and ensure cost-effective event production.
- Track KPIs such as margins, profitability, and budget adherence throughout the event lifecycle.
- Adjust financial plans and projections as necessary to ensure the event meets financial goals.
Resource and team management:
- Manage the allocation and scheduling of internal and external resources.
- Brief and manage event teams, ensuring clear communication on roles and responsibilities.
- Ensure teams are booked, briefed, and properly equipped to carry out their tasks during the event.
- Monitor team progress throughout the event lifecycle to ensure deadlines and goals are met.
- Conduct team briefings before events to align everyone on logistics, schedules, and key deliverables.
Event execution and troubleshooting:
- Oversee the full planning process, from concept through execution and post-event wrap-up.
- Manage all event logistics, including staffing, scheduling, and equipment.
- Execute events on-site, ensuring smooth operations and addressing issues in real-time.
- Manage event teams, briefing them on roles and responsibilities and troubleshooting any issues.
Post-event reporting:
- Provide comprehensive post-event reports, including budget reconciliation, KPI analysis, and lessons learned.
- Gather and analyse feedback from clients, attendees, and team members.
- Ensure all documentation is complete and archived for future reference.
Skills required:
- Decision-making abilities.
- Good writing skills.
- Ability to communicate at all levels.
