Job Description
This job is for an Assistant Officer position at the University of the Free State. The university is looking for people to work in the Student Academic Services department, specifically in Bloemfontein or Qwaqwa. The job is a temporary contract for six weeks, with full-time hours (40 hours per week). You will be working under the Deputy Registrar: Student Academic Services.
As an Assistant Officer, your main job will be to provide professional and friendly customer service to students and staff. You will handle queries through email, phone, and in person, ensuring all questions are answered correctly and quickly. You will also respond to student inquiries through the university’s chatbot system, using the FAQ library and other resources to give accurate information. If a problem is too complex, you will pass it on to your team leader.
Another important part of the job is helping students with the registration process. You will provide the right forms, assist in filling them out, and ensure everything is done correctly. You will keep students updated on the progress of their requests and provide feedback. Approval from your team leader will be required before certain tasks.
You will also be responsible for entering data into the system, checking forms and documents for mistakes, and reviewing work done by other staff in the back office. The goal is to resolve all student requests within one business day. This job requires attention to detail, good communication, and the ability to follow university rules and procedures.
To apply for this job, you must have at least a Grade 12 certificate or a National Vocational Certificate at NQF Level 4. Experience working in customer service or a contact center (at least six months) is required. You should not be a current student at the university.
Having a post-school qualification (diploma or certificate) is helpful, and two years of administrative work experience would be an advantage. You need to be able to work well under pressure, follow rules carefully, and use Microsoft Office programs like Word and Excel. Strong communication skills, both written and spoken, are essential.
This is a temporary contract job with a fixed monthly salary of R 12,015.50. The work will be done on-site at either the Bloemfontein or Qwaqwa campus.
