Commercial Property Portfolio Manager
(Reporting to: Group Operations Manager & Director)

KEY RESPONSIBILITIES:
1. Management Of the Entire Portfolio:
- Overseeing all the groups properties portfolios across the different regions
- Oversee tenant leasing processes, negotiations, and renewals.
- Address tenant concerns and maintain positive relationships to enhance tenant satisfaction.
- Monitor lease agreements to ensure compliance and enforce lease terms.
- Resolving complaints, queries and requests from property tenants timeously.
- Source new tenants for the various properties across the portfolio.
- Ensuring the lease administrators compile the lease preparation and prior checks on leases before going out to tenants.
- Conducting weekly meetings with the relevant building managers regarding leasing and leasing issues.
- Conduct meetings with brokers to show available vacant premises, maintaining effective communication in the leasing process.
- Conducting regular site visits to all properties.
2. Accounting Management:
- Thoroughly review pre-bills received from lease administrators to ensure accuracy and completeness.
- Scrutinize accounts for errors during the pre-bill phase, taking corrective action to rectify any discrepancies before the issuance of statements.
- Assist the accounts team with the correlation of all information for the monthly management report meetings with the directors.
- Conducting monthly management meetings with the directors to discuss the performance of the property portfolio.
- Ensure the accuracy of all records within the files received from RMS (Remote Metering Solutions).
- Facilitate regular monthly meetings with the RMS (Remote Metering Solutions) team to discuss updates, address any concerns, and ensure seamless collaboration.
3. Staff Management:
- Effective Management of the Operations and Leasing departments to achieve optimal staff performance and departmental outcomes.
- Managing job expectations, continually communicating objectives, and employing strategic planning, monitoring, and appraisal techniques to ensure staff success.
- Developing, coordinating, and enforcing systems, policies, procedures, and productivity standards.
- Promoting teamwork and a positive work environment.
- Providing support and guidance as and when required to ensure teams are effectively performing their duties.
- Managing/optimising the workflow between the teams based on capacity.
- Overseeing daily staff operations and addressing related matters to ensure smooth departmental functioning.
- Executing effective onboarding and training sessions for new employees.
- Identifying opportunities for process improvement and implementing changes where necessary.
4. Time Management:
- Demonstrates a willingness to contribute overtime or extra efforts when required to meet deadlines.
- Management of workload by employing effective time management strategies and ensuring consistent follow-through on tasks.
- Ability to meet predetermined targets and deadlines.

QUALIFICATIONS AND EXPERIENCE:
- Matric
- Certificate/Diploma/ Degree in Property Management or Real Estate Management
- Minimum of 5 years’ experience in a Commercial and industrial property management and administration.
